Furniture specification and inventory in Bali
The words “fully furnished” rarely help when someone needs to know what they will see at a viewing or handover. A good inventory does not promise perfect condition. It shows what is included, where it is, which source supports it and which items still need checking.
How is an inventory different from attractive copy?
Copy sells a mood; an inventory leaves a verifiable structure. It need not list every spoon, but material items need area, inclusion, source and an unknown boundary. Owner, manager and future occupant then speak about the same item.
The short answer
First define why the inventory exists: listing, viewing, handover or replacement decision. Then separate four things: what is stated as included, what was observed, what a record supports and what needs checking. Do not call an inventory a condition report if it was not created for that purpose.
1. Name the inventory purpose first
A listing list, pre-viewing record, handover inventory and replacement decision look similar but answer different questions. State purpose and date in the first line; this stops an old list posing as a current record.
When one file is used for several purposes, each line needs a clear period and source. Otherwise “it was in the listing” easily becomes the false “it was there at handover.”
2. Make items recognisable
Name area, item or group, inclusion and an available source. For material things, add photo, date and note what could not be seen. Do not invent brand, specification or condition that nobody confirmed.
Grouping helps the next person find items without a decoder: bedroom, kitchen, outdoor area, storage, equipment. Grouping does not replace review of a particular item.
3. Do not confuse presence and condition
An item can be listed and still need checking. “The sofa is present” does not mean “the sofa is functional”, and a photo does not explain whether equipment works. This difference matters particularly before handover or replacement.
If condition is needed, record it as a separate observation with date, area and review boundary. For a technical or disputed issue, do not ask an ordinary inventory to answer for a professional.
4. An inventory does not replace formal or technical review
PP No. 16 of 2021 provides a national framework for building administration. It does not answer a question about particular furniture, condition, ownership or replacement duty. This is reason not to cover a practical list with legal or technical language.
When an item concerns spending, dispute, safety or a duty, separate it into a distinct question with the needed record and holder.

5. Open items survive people change
At the end of an inventory, keep not only items but unverified lines: what was inaccessible, who should confirm, which material is needed and when the last record was made. This is faster than starting from zero after people change.
An inventory becomes a living tool when it can distinguish an old photo from a new record, and a current question from one already closed.
Decision steps
- Name purpose
State why and for which date inventory was created.
- Build register
Record area, item, inclusion and available source.
- Separate condition
Do not present presence as functionality; make a separate observation when needed.
