Vacancy diagnostics
The phrase “the market is not moving” often appears before records do. Yet an empty asset may have different stories: listing was never live, enquiries were not handled, the asset could not be shown, terms did not fit an enquiry, or parts of the record were never retained. First identify which question actually arose.
Where should a vacancy review begin?
Start with date and channel. Record when the asset became available, where it was offered, what was published, which enquiries arrived, who replied, whether viewings occurred and why a particular conversation stopped. Without this, “vacancy” remains an impression, not a decision subject.
The short answer
Build a short path map: availability → listing → enquiry → response → viewing → decision. At each transition, separate what is supported from what is unknown. Do not change price, agreement or manager on one broad hypothesis before seeing where the path actually broke.
1. Define what you call vacancy
Name the start and end of period, asset objective and available channels. An asset that was not ready for viewing is not the same as one actively offered without result. An asset whose records are lost is a third story.
Keep one neutral question: which part of the period is supported by records? It does not demand an immediate conclusion, but stops an empty calendar being replaced by a market explanation.
2. Walk the customer path step by step
For each channel, note: whether a listing existed, date and version of material, enquiries, response time, possible viewing and result in the form it was recorded. One line for a particular conversation is usually more useful than a general “there was no interest” report.
Not every question must have an answer. If it is unknown whether someone saw a listing or why they did not continue, state that. An unknown should not become “price is too high” or “the area does not work.”
3. Separate demand from readiness to show
A listing may be live while a viewing is impossible because of access, occupancy, open work, incomplete material or unclear communication rule. That is not proof of weak demand. It is a separate operating question with its own next step.
The same applies to condition: one visitor comment is an observation, not a technical conclusion. If a question repeats, it can be referred for a separate inspection with context and available material.
4. External statistics are context, not an asset answer
BPS Bali publishes occupancy statistics for classified hotels based on its monthly hotel survey. It can give broad accommodation context, but does not measure demand, price, bookings or outcome for a selected villa or apartment.
Do not use such a figure as explanation for vacancy. First inspect your own record path; an external indicator may suggest a next question, but cannot close it.

5. Change one testable thing at a time
After mapping the path, choose one hypothesis visible in records: update listing material, clarify response channel, resolve viewing access, request a separate check or simply keep collecting data. Record what changed and through which date you will observe it.
Do not promise the change will produce a booking. It only makes the next cycle observable and avoids making a new decision blindly.
Decision steps
- Frame the period
State dates, objective, availability and asset channels.
- Map the path
Put publication, enquiries, responses, viewings and results on separate lines.
- Separate causes
Separate listing, access, operations, condition and external context.
- Assign an answer
For each open line, name record holder or next professional.
- Test one hypothesis
Change one observable thing and set next review period.
