Rental inspections in Bali

A routine inspection works when both sides understand its purpose, route, access, records and next step in advance. Without that, a normal check can quickly become an argument about private space, an old wall mark or a photograph that explains nothing.

What should be agreed before inspection?

Take current agreement text and name separately: visit purpose, intended areas, participants, proposed date and time, who gives access, what will be recorded, where it is kept and how parties may ask about result. If access or notice is unclear, do not replace it with a general rule; take it for directed clarification.

The short answer

An inspection is a short verifiable chain: agreed request → confirmed time and access → observations in named areas → separation of photo, fact and conclusion → next actions with question owner. It should not become a hidden expert review or a judgement of tenant.

1. Purpose and route before visit

The phrase ‘look at the property’ is too broad. Purpose may relate to open report, seasonal preparation, contractor handover, routine record or a specific area question. State it so both parties understand why the meeting is needed and what is outside it.

The route need not be long. Naming areas, participant and anticipated duration is enough where genuinely known. Do not promise an exact inspection result before seeing the asset and checking available records.

2. Access and notice are checked against the selected agreement

There is no useful universal phrase that ‘the owner can always enter’ or ‘the tenant must always allow access’. Take applicable text, messages on agreement and actual situation. If parties differ, record not a winning slogan but a question of who will clarify it and in what scope.

This matters especially for a manager: their role is to coordinate an agreed process, not silently enlarge their authority. Any access, key or code is better kept as a separate line with holder and handover point.

3. A photograph is a record, not a verdict

A photograph is useful when it has date, area, context and a clear connection to observation. It does not prove cause, age, fault or cost. It needs text beside it: what is visible, what is unknown and what question follows.

Indonesia’s Personal Data Protection Law regulates personal-data processing. That general fact does not itself answer whether a particular photograph is permissible in a particular rental. Transfer and retention of photographs should therefore be named in the working process and, where needed, checked for the exact case.

4. Separate what was seen from diagnosis

A useful record says: ‘Y is visible in area X; source is viewing on this date; before-and-after state is not established’. A poor record adds cause, fault and budget without support. Even where an observation feels obvious, its assessment may require another scope.

This format protects both sides. Tenant does not receive a hidden accusation, owner does not get false certainty, and a professional, where needed, sees original observation without an editorial version of events.

5. A visit ends with next action, not ‘OK’

After inspection, prepare a short record: areas, people present, access, observations, material received, open questions and next holder. If there are no actions, that too can be recorded as no new questions within this visit, without concluding on whole asset condition.

An open line needs an owner: who will provide record, clarify history, agree contractor or decide whether separate review is required. This prevents the next visit beginning from zero.

Decision steps

  1. Frame request

Name purpose, areas, participants, proposed date and time, and working visit outcome.

  2. Confirm access

Check applicable text and parties’ agreement; do not replace uncertainty with a general formula.

  3. Record observations

For each record, state area, date, source, what is visible and conclusion boundary.

  4. Route questions

Take access, agreement, technical or other question to its responsible holder.

  5. Send outcome

Save a short dated record with owner of next action or no new questions within visit scope.
