Inventory and condition report

A good inventory does not try to look like an expert report. It answers simpler questions: what is in the asset, when and by whom it was recorded, what is visible at that moment and what remains unknown. That precision gives it value for handover, rental, repair and sale.

How does inventory avoid becoming a useless list?

Every line should connect an item or area to date, source, precise description and record medium. Do not write ‘furniture is good’ or ‘crack is old’. Name item or place, what is visible, how it is known and which question remains outside record.

Short answer

Build inventory by area; for every line keep identifier, date, source, what is visible, photograph or other medium, limitation and next question. Separate presence of an item from whether it works, and observation from diagnosis and responsibility.

What is known and what to verify

What is known

What to verify for the address

      1. Work by area, not memory

Begin with a simple route: entry, living areas, bedrooms, bathrooms, kitchen, outside areas, storage and common parts where included in task. Every area has date and inspection boundary. If an area was not reviewed, do not fill it with someone else’s words.

Item inventory and condition note can sit side by side, but not in one cell. ‘There is an air conditioner’ and ‘the air conditioner works’ are different statements requiring different bases.

      2. A photograph helps only with context

A photograph needs date, area, short description and register location. It can show what is visible, but does not establish when it appeared, why it happened or what remediation will cost.

The record should not be an endless gallery. One clear identifier and linked text are more useful than dozens of similar images without explanation.

      3. Do not replace inventory with formal records

PP 16/2021 and SIMBG describe national framework and processes associated with building data. They help avoid confusing a private inventory with questions of formal status and records.

But neither a formal source nor a neat inventory itself confirms condition, completeness or suitability of a selected asset. Where such answer is needed, assign it to separate review.

      4. Unknown must be named

If an item is not found, area is closed, serial number is not visible or origin is unclear, it is a register line. Do not replace it with inference or assert absence before it is supported within task.

This approach is especially useful for later rental or sale: the next person sees not a neat illusion of completeness, but the precise place that needs an answer.

      5. Outcome must work for the next person

The final record includes asset, date, participants, areas, inventory, observations, material, limitations and open items. It need not be decorated with evaluative language. The main check is whether another person can understand what was recorded and what the record does not claim.

If next task is repair, rental or sale, use this record as source material, not a substitute for specialist review.

      Decision steps

      1. Name areas

Agree route, date and record boundary.

      2. Enter items

Name item or area without conclusion on operation or condition.

      3. Link observation

Add date, source, visible fact, record medium and limitation.

      4. Mark unknown

Record missing data as next question with answer holder.

      5. Hand over outcome

Save dated version usable for next scenario.
