Source of funds and payment trail

The most useful payment file is not the one that looks impressive. It is the one that shows, without guesswork, the route: where the funds came from, why a transfer is needed, which asset it relates to and who received it. Assemble that story before the first transfer, not when someone unexpectedly asks for it.

Which records should be retained so money does not become detached from the transaction?

You need three connected folders: source of funds, transaction file and payment file. They do not need excess personal data for its own sake; they need to tell one consistent story.

The short answer

Keep the document that explains the source of funds; the current agreement and appendices; the request/invoice for the specific payment; transfer confirmation; payee confirmation; and the record linking all of this to the asset and transaction stage. Do not rewrite the story after the fact or create an alternative route merely because it looks easier.

1. Assemble one truthful story, not a collection of files

Indonesia's anti-money-laundering framework aims to protect financial-system integrity, and Bank Indonesia's regulation includes due diligence in fund-transfer operations for regulated parties. That does not mean there is one universal document list or that every review ends the same way. It is, however, a good reason not to treat a significant payment as an ordinary pay link in a messenger.

Start with a short description of the transaction in your own words: asset, parties, payment purpose, amount/currency and stage. Then make sure the agreement, invoice, bank confirmation and payee confirmation do not tell different versions of the same story. If one file names a different asset, party or purpose, that is a reason to pause and clarify—not a cosmetic edit after transfer.

2. A source-of-funds folder is not a script for a bank

Collect only authentic records that already explain the origin of funds in your situation: for example, records of savings, income, sale of an asset, business distribution, gift or inheritance—if that is genuinely your case. Do not add records unrelated to the transaction or invent a more convenient origin story.

For your own organisation, keep a short chronology: the event from which money arose; date; record; account or another clear movement; and connection to the transaction amount. This does not replace instructions from your bank or adviser and does not guarantee a review outcome. It helps the buyer avoid confusing the origin of money with the purpose of a specific transfer.

3. Every transfer needs a specific purpose

The agreement and schedule are the general frame; a specific transfer needs its own line. Before payment, connect the amount to an agreement clause, current schedule version, payment request, asset, stage and payee. If it is a deposit, price, service or another line, do not leave it under the broad phrase ‘property payment.’

Government Regulation No. 34 of 2016 addresses specified rights-transfer events and related agreements. It does not instruct a bank transfer. It does help preserve one important principle: the agreement trail and payment trail should connect to a real transaction event, rather than exist independently of each other.

4. A new payee or account is a reason to pause

However convincing a message with new account details may look, it should not by itself change the route of money. First reconcile the new payee with the agreement, party role and current payment request. If the chain does not read clearly, obtain confirmation through a verified contact and follow your financial provider's requirements.

Do not try to solve a mismatch by splitting an amount, using cash, routing it through acquaintances or another ‘temporary’ arrangement. These actions do not make the story clearer and are outside this page's scope. The right response is to pause, preserve the inconsistency and obtain clear, truthful records for the current transaction.

5. Save the payment file on the transfer day

After payment, bring together the bank confirmation, request/invoice, relevant agreement or appendix page, schedule version, payee confirmation and a short note: what the payment is and which record is expected next. A file name should make the payment findable six months later: date, asset, stage and amount are better than ‘final_final_new.’

Keep originals and do not replace an old version with a new one without a note. If terms changed, retain both and connect the change to the parties' decision. This is not about creating a perfect folder; it is about not having to reconstruct the transaction from memory in response to an ordinary question.

6. Ask your provider, not a group chat, for instructions

Requirements can depend on the bank, payment provider, country, customer status, currency, operation type and current rules. This page does not predict them or offer a path around them. If you are asked for an additional record or there is a mismatch between the agreement and payment instruction, use the provider's official channels and obtain guidance for your operation.

It is useful to approach a transaction adviser with a specific question and the full set: agreement version, party, payment line, address/asset, account details and the record that creates the question. That lets them separate the commercial part of the transaction from the financial provider's instruction, rather than guess from a screenshot.

Decision steps

  1. Write one transaction summary

Record asset, parties, purpose, amount/currency and stage; then reconcile it with every document.

  2. Build the source folder

Keep only authentic records that genuinely explain the origin of your funds.

  3. Link every payment

Connect request, agreement clause, schedule, asset, payee and expected confirmation.

  4. Pause on a mismatch

Do not change the money route on one message; obtain truthful, consistent records first.

  5. Archive the file on payment day

Bring together transfer confirmation, request, schedule version, payee confirmation and a short note.

FAQ

Do I need a source-of-funds folder if the money has been in my account for a long time?

Do not try to predict someone else's requirements. For your own organisation, assemble a truthful chronology and records that genuinely explain the funds; ask your provider about requirements for your operation.

Can I pay an account sent in a new message?

Do not change the money route on one message. First link the details to the current request, agreement and payee role, then follow your provider's instruction.

Can I split a payment to make it easier?

This page does not propose ways around checks or requirements. If the payment structure raises a question, pause and obtain official guidance for the specific operation.

Is an agent's confirmation that money was received enough?

It may be part of the file, but it does not replace bank confirmation, payment request, agreement connection and a clear payee role.

Do I need to send everyone a full set of private financial records?

No. Provide records only for a clear need and through verified official channels. If it is unclear what is needed, ask the relevant provider or professional for an explanation first.
