Bali property seller documents

A seller file is not meant to bury a buyer in attachments. Its job is to connect one asset, one transaction and one set of verifiable statements: what is being sold, who is responsible, which terms are known and where checking is still required.

When should documents be assembled?

Before publishing a listing and before the first serious conversations. This is when different addresses, old plans, an unagreed furniture list, open works and account-data questions surface. It is easier to correct the file before promises than to explain a discrepancy after a buyer relies on it.

The short answer

Split the file into five parts: asset identity; rights and parties; condition and included items; operations and open lines; and the sale-terms version. In every part record source, date and the person who can explain the document. No document is not a reason to write the answer yourself; it is a separate item for checking.

1. One file — one asset

Collect address or locator, parcel or unit number, plans, photographs, actual-condition description and the current version of included items. Do not replace asset identity with a project name: within one scheme it may describe different units.

If area, layout, condition or furniture scope differs across materials, do not smooth the difference with polished wording. Keep both versions beside the question: which record or viewing should confirm it?

2. The rights-and-parties section is not written from memory

Indonesian rules cover land rights, strata units and registration, but they do not give an automatic answer for a selected asset. The file should retain the particular material against which relevant professionals can review the current structure and seller’s role.

Make a simple provenance card: who supplied each record, its date, whether it is original or copy, and who can explain its connection to the asset. This is often more useful than a folder of files with unclear names.

3. Operations and settlement sit together, but do not merge

Collect separately data on management, repairs, utility account records, service payments, inventory and open reports. Every line needs a period and source. A receipt, manager letter and oral explanation are different types of evidence.

Badung publishes a BPHTB file-verification procedure including payment evidence and party declarations. That does not mean one bundle closes every seller question. It is a reminder that relevant stages depend on dated records and their connection to the transaction.

4. Sale terms should live in a separate version

Do not hide price, currency, handover scope, reservation conditions, dates, holdbacks and promised works across a presentation, messages and voice notes. Make one dated terms sheet and track changes there. Otherwise a buyer can receive three honest but incompatible answers.

An open line does not make an asset ‘bad’. It simply needs a name: what is unknown, who checks it, when an answer is due, and how it changes the terms if the answer differs.

5. Questions that preserve trust

Before publishing, ask: can we show a source for every key statement; does the asset match across all materials; is handover scope clear; who owns every open line; are we presenting old information as today’s? If the answer is no, put a flag in the file rather than make a confident but fragile statement.

Put exact questions to a relevant professional: does this record belong to the selected asset; which date does it cover; what does it not confirm; is an update needed; and what is the next evidence? This turns the file from a polished shop window into a transaction tool.

Decision steps

  1. Assemble asset identity

Reconcile asset, plan, photographs, condition and handover scope in one sheet.

  2. Record provenance

For each material record, note source, date, form and explaining party.

  3. Separate operations

Move management, service records, repairs and open reports into a separate register.

  4. Fix the terms

Maintain one dated version for consideration, currency, handover scope and open terms.

  5. Run a focused review

Give relevant parties only specific questions with records and dates.
